Privacy Policy
Guest Concierge (“Guest Concierge,” “we,” “us,” or “our”), a product of AIKoders LLC, takes your privacy seriously. This Privacy Policy explains what information we collect, how we use it, the parties we share it with, and the rights and choices available to you.
01 Introduction
Guest Conciergeprovides AI-powered guest intelligence software for short-term rental and vacation rental operators (“Operators”). The Service answers guest questions about specific properties and gives Operators a unified workspace for messages, knowledge, and insights.
We act as a data controller for personal information we collect about Operators and visitors to our website. When Operators use the Service to communicate with their guests, we generally act as a data processor on behalf of the Operator with respect to guest personal information. The Operator is responsible for providing notice to and obtaining consent from their guests where required by law.
Guest Concierge is a product of AIKoders LLC, based in Cape Coral, Florida, USA. The Service is intended for use by Operators and visitors in the United States.
02 Scope of this Policy
This Policy applies to information we collect through:
- The Guest Concierge website at guest-concierge.ai and related subdomains.
- The Guest Conciergeapplication, dashboard, and APIs (collectively, the “Service”).
- Communications you send to us (sales inquiries, support requests, email, contact form submissions).
This Policy does not apply to third-party services we link to, websites of Operators that embed or use the Service, or information that Operators independently collect from their own guests outside the Service.
03 Information we collect
Information you provide
- Account information: name, email, password (hashed), company name, role, billing address, and payment information when you sign up or upgrade.
- Property and knowledge data: descriptions, house rules, check-in details, amenities, FAQs, and other content Operators upload to train the concierge.
- Guest interaction data: messages exchanged between guests and the AI concierge, including the time, content, and metadata of each exchange. Operators determine what communication channels are connected to the Service.
- Support and contact: name, email, company, property count, and the contents of any message you send through our contact form or to contact@aikoders.tech.
Information collected automatically
- Device and connection: IP address, browser type, operating system, language, device identifiers, and approximate location derived from IP.
- Usage: pages visited, features used, click and scroll events, referrer URLs, session timestamps, and crash or error reports.
- Cookies and similar technologies: see Cookies and tracking below.
Information from third parties
We may receive information from analytics providers, payment processors, identity providers (e.g., Google Sign-In), and channel-management or property-management systems an Operator connects to the Service. We use this information to provide, personalize, and improve the Service.
04 How we use information
We use information to:
- Provide, operate, and maintain the Service.
- Generate AI responses to guest questions using the Operator's property and knowledge data.
- Authenticate users, prevent fraud and abuse, and enforce our Terms.
- Process payments and send transactional communications.
- Provide customer support, troubleshoot issues, and respond to inquiries.
- Measure performance, debug, and improve the Service, including improving the accuracy and helpfulness of AI responses.
- Send product updates, promotional materials, and other marketing communications, where permitted by law. You can unsubscribe at any time.
- Comply with legal obligations and protect our legal rights.
We do notsell personal information, and we do not use guest message content to train foundation AI models without an Operator's explicit instruction.
06 Sub-processors
We rely on a small number of trusted vendors to operate the Service. Each is bound by data-processing terms and appropriate safeguards. Current sub-processors include:
- Vercel, Inc. — application hosting and content delivery (United States).
- OpenAI, L.L.C. — large language model APIs used to generate concierge responses (United States). API content is not used by OpenAI to train its models per its API data policies.
- Anthropic, PBC — large language model APIs used to generate concierge responses (United States). API content is not used by Anthropic to train its models per its commercial terms.
- Resend, Inc. — transactional email delivery for contact-form submissions and account notifications (United States).
We may add or replace sub-processors as the Service evolves. Where required by law, we will provide notice and update this list.
07 AI processing
The Guest Conciergeconcierge generates responses by combining an Operator's property and knowledge data with general-purpose language models provided by the AI sub-processors listed above.
- We send only the information needed to answer the relevant guest question, including recent message context and the Operator's relevant property data.
- We do not use guest messages, property data, or Operator content to train foundation AI models.
- AI responses may be inaccurate, incomplete, or out of date. They are not a substitute for professional advice, and Operators remain responsible for the information provided to their guests.
09 Data retention
We retain personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Specific retention periods depend on the type of data and the purpose for which it was collected. When information is no longer needed, we delete or anonymize it.
Operators can configure retention preferences for guest interaction data within the dashboard, subject to minimum retention periods we may require for security and abuse prevention.
10 Security
We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include encryption in transit (TLS), encryption at rest for sensitive stores, access controls, and regular security reviews. No method of transmission or storage is perfectly secure; we cannot guarantee absolute security.
11 Your rights
Subject to applicable U.S. state privacy laws, you may have the following rights with respect to your personal information:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete information, subject to certain exceptions.
- Opt out of the sale or sharing of personal information (we do not sell or share for cross-context behavioral advertising).
- Receive a copy of your information in a portable format where required by law.
- Be free from retaliation for exercising your privacy rights.
To exercise these rights, email contact@aikoders.tech. We may need to verify your identity before responding. If you are a guest of an Operator, we will generally direct your request to the Operator, who acts as the controller of your personal information.
12 California (CCPA / CPRA)
California residents have additional rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act. In the past twelve months, we have collected the categories of personal information described in Information we collect for the purposes described in How we use information.
- We do not “sell” personal information for monetary consideration.
- We do not knowingly “share” personal information for cross-context behavioral advertising.
- California residents may request to know, delete, correct, and limit the use of sensitive personal information by emailing contact@aikoders.tech.
- We will not discriminate against you for exercising your privacy rights.
13 Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13 in accordance with the Children's Online Privacy Protection Act (COPPA). If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.
14 Third-party links
The Service may contain links to third-party websites or services that are not operated by us. This Policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party services you use.
15 Changes to this Policy
We may update this Policy from time to time. The “Effective” and “Last updated” dates at the top indicate when the Policy was last revised. Material changes will be communicated by email or in-product notice prior to taking effect. Your continued use of the Service after the effective date of an updated Policy constitutes your acceptance of the changes.
16WhatsApp communications & mobile information
Guest Concierge, a product of AIKoders LLC, sends WhatsApp Business messages to property hosts who explicitly opt in by providing their mobile phone number and checking the consent checkbox during signup at guest-concierge.ai/signup.
Types of messages we send to hosts
- Guest activity alerts (escalations, urgent issues, maintenance requests).
- Property notifications (new bookings, check-in/check-out updates).
- Service notifications (subscription, billing, account changes).
- Customer support replies.
- Account verification messages.
Messages are sent exclusively through approved WhatsApp Business templates via our messaging infrastructure provider (Twilio), which is bound by Meta's WhatsApp Business Solution Terms.
Message frequency
Varies based on guest activity at your properties. We do not send marketing or promotional messages through this channel.
Cost
Standard WhatsApp message and data rates may apply per your carrier or WhatsApp plan. Guest Concierge does not charge hosts for alert messages.
Opt-out
You can opt out anytime by replying STOP to any WhatsApp message from Guest Concierge, or by emailing support@aikoders.tech. After opt-out, you will not receive further WhatsApp messages from Guest Concierge (you may continue to receive transactional emails required for account operation).

Reply HELP to any message for assistance, or email support@aikoders.tech.
No third-party sharing. No mobile information collected through Guest Conciergewill be shared with third parties or affiliates for marketing or promotional purposes. This applies to phone numbers, opt-in status, message content, and message metadata. Phone numbers are used solely to deliver the WhatsApp message types disclosed above and are processed by our messaging infrastructure provider (Twilio) under their data processing terms and Meta's WhatsApp Business Solution Terms.
Consent is not a condition of using Guest Concierge. You can use the product without enabling WhatsApp alerts, though some features (proactive guest escalations) require it.
Records
We maintain records of your WhatsApp opt-in consent (timestamp, IP address, and the exact consent text you agreed to) and your opt-out preferences. You can request a copy of your consent records at any time by emailing privacy@aikoders.tech.
